How to run a Yearly Report

Requesting a yearly report of your drives from MileIQ has never been easier! We offer two seamless ways to get your drives emailed to you: from within the MileIQ mobile app or from the MileIQ web dashboard.  

Mobile App - The Quickest Way

After classifying all your drives from the year, open the mobile app. Then tap on the Share / Send button at the top right of the screen:

Then, select the year for which you would like to receive your recorded drives.

And, that's it! Check your Mail Inbox for an email with downloadable CSV and PDF files with your year's drives plus a summary sections with all the information needed for mileage on your taxes.

Web Dashboard - The Most Control

To see mileage or to print a report for reimbursement from the MileIQ web dashboard (dashboard.mileiq.com - same email and password as the app), the first step is to sign in.

Once signed in, you'll see all your drives. First, make sure all the drives have been classified to ensure maximum business drive reimbursement. See this article on How to: Quickly Bulk-Classify Drives.

Using the Reports tab

Then, to request a yearly report to your email address or download it from the web dashboard, simply click on the “Report” tab in the menu column on the left:

After clicking on the “Report” button, you’ll see the report creation tool. The next step is to select the yearly date range of drives and the types of drives you’d like to report. You can quickly get a report of 2022's drives by using the "Last Year" quick filter.

For the screenshots above, the “Last Year” filter was selected to quickly bring up 2022's drives and then filtered by business drives. Choosing “Create this report” will bring up the Create Report dialog box to label the newly created report and choose the delivery method. Reports can be delivered through Email, Concur (if you're part of an organization using MileIQ Teams Standard or Teams Pro) or downloaded directly from the web dashboard.

After creating the report, it will also be available to download on the web dashboard below in “Archived Reports”.

To download the report directly from the web dashboard, click on the “CSV” or “PDF” button on the corresponding report to download that file version directly to your hard drive. The summary section of the report is organized into the information needed for taxes.

Using the Drives tab

Need a little more finesse or detail in your reporting? You can also generate reports from the "Drives" tab of the web dashboard.

From here, click the dropdown for the month at the top of the screen, make sure you select the "Last Year" date filter to select 2022. You can also select any of the drive purpose filters, which allows you to create purpose, detail, and/or vehicle specific reports to either bill specific clients with mileage, create a specific business report, or just your charity drives.

Click on the filter options to quickly select all drives with "Unspecified" vehicles assigned (you'll need to scroll down to the bottom of the filter list) or filter them by specific purposes.

Once the desired filters are selected, then select all drives using the checkbox below the search bar and then click the green "Report" button.

If the "Report" button is grayed out, then that means there are still unclassified drives in the selected date range. Select the "Unclassified" drive tab at the top to quickly filter in all drives that still need classification. After naming the report, the report will be sent to your email address for you to download.

Additional Information:

  • Yearly reports are available to generate in both CSV and PDF formats on the web dashboard and mobile app.
  • If the green "Report" button is grayed out after selecting drives in the "Drives" tab, then that means there are still unclassified drives in the selected date range. Select the "Unclassified" drive tab to quickly filter in all drives that still need classification.
  • CSV reports are best viewed in Microsoft Excel, Apple Numbers, and Google Docs - you can modify your rates, and they will update dynamically.
  • You can email your report to multiple parties by separating the email addresses using commas.
