How to create a detailed Mileage Log (CAN)

Although you do not need to report individual drives, the CRA requires you to have a detailed mileage log to back up your deduction. This log should be a "timely-kept record" that gets saved for several years in case of future audit.

It should include the following information for all of your business drives:

  • Date
  • Destination
  • Distance
  • Purpose
  • Vehicle

You can easily create a detailed mileage log on the MileIQ web dashboard

Note that you’re NOT required to include odometer readings for each drive or exact addresses in your mileage log.

Below are some quick tips for finding drives that need attention or additional details like business drives without purpose, drives without any classification or purpose, and drives without vehicles, as well as creating a report with business drives only.

You can select any of the drive purpose filters on the web dashboard to quickly show drives classified with that purpose.

First, you'll want to adjust the date range of drives to be shown.

Second, simply select the "Business NO PURPOSE" tile or the "Business" filter to list those drives below.

You can also quickly find and filter your drives that don't have a vehicle assigned to it. After filtering the dates of drives needed to report, choose the "Without Vehicles" filter to show all drives missing a vehicle.

Then, select all the drives that you want to add a single vehicle to and choose the vehicle.

Once you've confirmed your modification, all drives that were selected will now have the chosen vehicle assigned to them.

Use the tiles and additional filters to find your drives needing classification by selecting the "Unclassified" tile or filter.

Once your drives are classified and ready to go, you can request your 2016 annual report from the MileIQ mobile app or web dashboard. (If you prefer, include business drives only.)

To create a report with only business drives, you can filter business drives in the "Reports" tab before generating the report. Then, select the date range needed to report and click "Create this report".
